A notes section is attached to every lead where sales reps keep track of conversations, future actions, and final disposition of the lead. Lead processing flows smoothly from initial contact through quote, contract generation, deposit and order processing.
The OrderStorm software incorporates full enterprise level document management that manages creation, receiving, sending and storage of any type of file or document using an XML factory. Quotes and contracts are generated automatically to include a bar code. Choose from email, fax or 1st class mail delivery. Each different delivery method creates a different work flow.
Contracts that are faxed back come in electronically and are matched and stored with the order using the bar code. Documents such as plans and credit card authorization forms can be stored with the order as well.
Upon receipt of the returned contract, the system moves the work flow from the state of waiting on the return of the contract to contract needs to be reviewed and approved. If the contract is not received in a set period of time them the workflow fires an event that causes a sales person to place an outbound phone call to the end customer.
A management dashboard allows sales managers to monitor how many leads are being worked by a sales rep as well as past due actions, today's actions, and future actions. Managers can use this data to balance the work load and see where sales reps are falling behind to offer training. Additional management data includes number of leads received per day, number of bad leads, number of dead leads and more.
OrderStorm also offers security based on roles and relationships. The designated company administrator can regulate security by assigning employees into pre-defined roles that limit access to sensitive data. Employees can also be assigned into workgroups that also have pre-defined access based on criteria set by the company administrator.
