WordPress e-Commerce, Drop Shipping and Batch Updates

One of the more difficult aspects of drop shipping is maintaining synchronized product details and prices with your suppliers over time.  While the initial upload of products into your shopping cart software from a spreadsheet is very straightforward, keeping product info up to date is a challenge – the more suppliers you have, the bigger the challenge.  As the years go by, suppliers add new products, discontinue old ones, change color/size options and change prices.  Problems can easily arise when your website sends a purchase order to a supplier for an item that no longer has the right price.  If the price has gone up a lot, you either lose the sale or lose your profit on the sale.  If the item is discontinued, you will either lose the sale or lose the profit from the sale in the time it takes to locate another supplier of the same or similar item.  Maintaining updated product information and current prices over a period of years is a critical issue.  It can also be very time consuming.

Many manufacturers send out a new product/price catalog at the start of each new year.  Other manufacturers change prices more frequently.  For example, the price of steel can fluctuate wildly.  Manufacturers of heavy steel items may adjust prices more than once a year if the price of steel goes up or down dramatically.   The price of gasoline also can affect product prices – particularly if your marketing strategy is to offer free shipping.

There are really only two options for handling these updates.  Go through every product manually, compare your products to the new catalog and update manually or have a plan using software for batch updates.

Here are the strategies we have used in the past to handle product updates manually.

1. Encourage your suppliers to send a catalog or spreadsheet where new product additions are highlighted.  If the prices have not changed, this strategy will save you a mountain of time in comparing your website to the new catalog.

2. Ask the supplier some other pertinent questions.

  • Have all prices changed or only a few?  If the supplier has only changed a few prices and they can identify those items, your job is easier.
  • Do they have a product/price list in Excel?  Or a database file like Access?  Or a .csv file download from their own website?  Unbelievable as it sounds, many suppliers still send out only a printed color catalog and a separate printed dealer price sheet.
  •  Ask for a list of discontinued items.  If the supplier has discontinued many items and is offering clearance prices, you may also want an inventory feed so you know when to take them down.  Take them down early! – it saves a lot of hassle and customer dissatisfaction compared with customers ordering items you can no longer get.

Here are the strategies employed by OrderStorm using our WordPress e-Commerce software for batch updates.

1. Ask if prices have gone up uniformly.  OrderStorm WordPress eCommerce allows you to change prices by percentage across the board.  For example, you can easily raise all prices by 10%.

2. Use the OrderStorm e-Commerce batch update screens.  You can batch update either by category or by supplier.  Updating by category is much easier if the supplier has thousands of items in their catalog.  Enter the new prices in the appropriate cell on the page – when you click off the cell, your changes are automatically saved.  Here is a screenshot of a batch update page.

3. Database update as a service.  OrderStorm offers database updates as a service to our customers.  We can update your prices from a spreadsheet directly in the database by comparing the item numbers in the database with the new catalog spreadsheet and updating the database to match.  This allows for batch updating of the retail price (MSRP), your dealer cost, the price you will charge your customer, and the shipping price if you are using flat rate shipping.  Comparing item numbers will also generate a list of discontinued items that can be turned off plus new items that can either be added using the ‘upload from a spreadsheet feature’ in the OrderStorm WordPress e-Commerce software or added directly by our support staff at the same time as we run price updates.  Or you can add the new items manually.

A final cautionary note:  Watch for part number changes!  Manufacturers should never, ever change an item number.  But they do.  Sometime they re-number all items or a big subset.  This is a disaster for database updates.  Be sure to ask the manufacturer if they have changed any part numbers/item numbers/SKUs.  Depending on what they did, we may be able to match the product name up to the new catalog and do a database update on the new part numbers.  Otherwise, you will be doing this manually – a huge time suck.

I went to a WordPress Meetup in Ft. Collins last night.  One of the people there made the comment that he had always heard that WordPress wasn’t really a good option if you need e-commerce.  He’s not the only one with that impression.  Until now, WordPress plugins have had a reputation for being buggy and unsuitable for serious e-commerce - they are only good for small numbers of products, limited number of orders, limited order management functions, not PCI compliant with Visa and Mastercard security rules.  Companies that would otherwise choose WordPress go either to the SaaS providers like Shopify or Volusion or download and install ZenCart or some other on-premise software.

E-Commerce – Automate, Automate, Automate

I have made my living in e-commerce since 2002. Time to share what I’ve learned. This is the first in a series of blog posts I will be writing on general e-commerce topics.

E-commerce is about a whole lot more than ‘which shopping cart should I use?’ Many businesses are now managed entirely online – everything from catalog display to marketing to LTL shipping to accounting. Your e-commerce strategy should come directly from your business plan – how are you unique? Your uniqueness is what will bring in customers and earn profits.

The first area to think about is automation. Online software is all about automation so when you build a new website, you have the opportunity to review all of your business processes to see where you can streamline and automate – this is where all businesses, not just online ecommerce businesses, have improved profitability from the industrial revolution forward.

So where are the opportunities to automate? Redundant processes, labor intensive processes, inefficiencies, re-typing information, applications that add customer value, streamlining sales and customer service or eliminating clicks. These are hard to see yourself. People tend to get entrenched – ‘We’ve always done it that way and it works so why mess with it?” A review of your processes and business model by an e-commerce consultant or e-commerce expert can pinpoint areas where you can automate – just like factories use process improvement specialists to observe operations to recommend ways to streamline and increase productivity.

Improving productivity is not a new idea. Companies spend a lot of money on developing process improvements because of how profitable they are. The US government tracks productivity – increases in productivity are a huge part of why our economy continues to grow. Productivity online involves either using existing software to your advantage or developing custom software for your specific process.

Lets look at a simple and inexpensive example of automating an e-commerce process. The process is adding pictures of new color variations of products to your website.

For our example we will use a flag store that sells flags for commercial properties. I’m sure you have seen them waving outside buildings and stores – “Welcome”, “Now Renting”, “T-Mobile”. So for our example, you are buying your flags from a manufacturer that offers 30 color choices. The flags can be one color, two color, three color or four color in any combination of colors. They come in horizontal, vertical, or diagonal stripes and in several shapes. Today, you display each flag style in all possible variation of these 30 colors – thats a lot of flag pictures to make. So if the supplier decides to add 4 new colors, you will need to make and post pictures of all these colors and add new variations for existing flag shapes to your website so customers can order them.

Consider automating. The basic flag shapes can be drawn on the HTML5 canvas. The customer could then choose from your list of colors to see what the flags will look like in the various color combinations prior to ordering. Very interactive. If the manufacturer adds a new color, all you do is add it to the list of colors. If they make a new shape, all you do is draw it once. So much simpler than showing a static product in all the possible combinations of colors and styles. Updating the website becomes quick and easy – much more labor efficient. Your graphic designer and the people who load your products can focus on other things to expand your business. Plus your customers will be happy – customers like interactive websites.

Quantity Discounts Made Easier

Have you ever wanted to apply quantity discounts across product variations?  Did you have to enter in the different quantity discounts as options and hope that your customer was honest and entered the correct quantity to match the discount they selected?  OrderStorm WordPress eCommerce handles this!

Have you ever wanted to apply quantity discounts across different product SKUs?  Maybe you have three different books for sale and if they buy three books in any combination you want to apply a quantity discount?  OrderStorm WordPress eCommerce does this!

Situation 1 – Apply the discount to all line items in the shopping cart (at checkout) including all variations.  Example:  A customer orders the same book that comes in several variations:  three of the English version and two of the Spanish version.  Quantity discount applies for all 5 books.

In Situation 1, the quantity discount applies to the base price.  If you are charging $2 extra for the Spanish variation, you will still get the additional $2 each.

Situation 2 – A merchant offers quantity discount on any 5 books.   Example:  A customer orders three novels and two cookbooks.  Quantity discount applies for all 5 books.

In Situation 2, it does not matter if the base prices of the books are different.

How to set up Quantity Discounts
To enter quantity discounts go to the product and select the pricing tab.  Right next to the, click on edit quantity discount pricing here.  This takes you to a new page where you can enter quantity discounts.  Put the lowest number of items needed to qualify for the discount in the quantity box and the unit (price for each) price in the price box and press ADD.  Then add successive levels of quantity discounts.

If this is set to YES then the discount will apply to product variations that may have already been added to the cart. For example, if there is a discount at a quantity of 10 and the customer orders 5 in color red and then adds another 5 in quantity blue the discount will be applied to both line items. If this is set to NO then the discount will only apply to one line item in the cart.

Edit-on-the-Fly

OrderStorm keeps adding functionality to make it easier for you to manage your online business.  The latest beta version of the OrderStorm WordPress e-Commerce plugin (0.5.3.1) adds Edit-on-the-Fly capability for editing products directly from the WordPress website.

Now you can make updates to your products directly from the WordPress website.  Of course, not just anyone can make these edits.  For security, you must be logged in to the OrderStorm.com back end as an administrator to make edits-on-the-fly.

 There are two ways to edit a product from WordPress.

 1.  At the top of the product page you will see “You are logged in: Edit this product”.When you click on the link, you will go straight to that product in the OrderStorm back end – no more searching for the product you need.  Here you can edit all product attributes.

 2.  Click on the item you want to change right on the WordPress page.  This will bring up an edit box.  Make your changes, then click anywhere outside the box to save them. OrderStorm WordPress eCommerce releases new video on Drop Shipping

Drop shipping has become very popular over the last 10 years. When we first introduced our drop shipping websites in 2003, many manufacturers did not drop ship – they did not see the benefit and wanted to retain three step distribution. We released white papers and blog posts on the many benefits to manufacturers of drop shipping to help our customers convince suppliers to add their online stores as dealers at reasonable dealer margins.

Now most manufacturers are happy to drop ship. All you need is the drop shipping software to run the drop shipping program in an automated way so you don’t drown in paperwork or re-typing orders. Our latest video tutorial is the first of two on setting up a drop shipping program using OrderStorm WordPress eCommerce. OrderStorm eCommerce is ready for WordPress 3.3 and now includes search

December 15, 2011

Early this morning, we committed version 0.5 of the OrderStorm WordPress e-Commerce plugin to WordPress’ SVN repository. New features are:

  • Compatibility with WordPress 3.3
  • WordPress Search Page results can now include product and/or category pages along with regular WordPress posts and pages

A lot of code was audited and cleaned up, resulting in a more stable plugin. Backward compatibility with 3.2.1 was just thoroughly tested for the plugin. Perfect… In both versions, even with WordPress debugging turned on, the plugin works without any error, warning or notice messages that we can find. Not even in JavaScript, except for a known HTML5 canvas issue, which is a pending item in our development timeline. This was a really good update!

Installation Video

OrderStorm has released an installation video to walk new customers through the process of installing and setting up the OrderStorm WordPress eCommerce plugin.

Setting up a WordPress shopping cart can be confusing and somewhat complicated. Follow the written instructions that come with the plugin and the video and you will be selling in no time. Since the OrderStorm eCommerce plugin itself does not really install a lot of things to see in the dashboard, the video should be a big help.

PayPal Takes Heat from TechCrunch

PayPal has been taking some heat in a few TechCrunch articles.

The first article Do You Hear What I Hear? Yes, It’s Paypal Stealing Money From Kids talks about a site, Regretsy, had its PayPal account shut down because Regretsy was collecting some money to buy toys for kids.

The second article After The Regretsy and Diaspora Account Freezes, We’ve Lost Confidence In PayPal TechCrunch talks about how it believes that people are loosing their trust in PayPal.

OrderStorm eCommerce Integrates with Google XML Sitemaps plugin

To help you get the best possible indexing of your OrderStorm WordPress eCommerce categories and products, we have integrated with Arne Brachhold’s Google XML Sitemaps plugin. This new function of our WordPress shopping cart plugin enables the sitemap to include URLs for product pages and category pages in the OrderStorm database and take advantage of the SEO’d slugs you created for your categories and products.

When you install the Google XML Sitemaps plugin and generate the sitemap, it calls a function of the OrderStorm WordPress eCommerce plugin to generate product and category entries in the sitemap. Now the search engines can spider and index your entire product catalog through your WordPress site. If you change something in your shopping cart, make sure to rebuild the sitemap manually. Regenerate the sitemap manually every time you make a change to a category or product.

This is one of the things that makes OrderStorm WordPress eCommerce really great. While OrderStorm is a SaaS product, it server side code, not client side only like other SaaS plugins. With an Ajax shopping cart, your products might not get indexed be the search engines.

One other thing to note is that the auto-regeneration feature of this sitemap plugin fails occasionally. Keep your eye on it. If you see it failed, just regenerate it manually.

OrderStorm WordPress e-Commerce Releases Color Selector Tool

The new color selector tool is the latest great e-commerce function to be added to the OrderStorm WordPress ecommerce plugin. The color selector is a product configurator tool to view how a product will look in different color combinations to help the customer make a purchase decision. It can be used for a wide variety of products including clothing, awnings, canopies, flags, furniture and any other item that comes in a choice of colors. Its also a good tool for home decor and construction products to see how your deck or walls will look in a variety of colors.

This is considered an advanced feature. It requires an HTML5 Canvas developer to create the initial shapes that represent the segments of your product that come in color choices. You must create your HTML drawings using the matching Feature Group ID for the feature groups , Color 1 (example below: typeof this.colors[135] is Color 1), Color 2, etc. The User Manual has complete instructions for setting up the Feature Group IDs to include in the HTML and the colors options for each product. Colors must be set up using the hexadecimal code to display.

Once your drawings are added, they will appear in the ‘HTML drawing’ dropdown list. This list is available for all products in your product catalog.

Next, go to the product that offers a choice of colors. Select the drawing from the list that matches the shape of the product to add the color selector to the product.

Example 2: If a polka-dot blouse comes in a choice of red, pink, lavender, purple and white, set up two feature groups to use: Color 1 for the background and Color 2 for the dots. You will add the actual colors to both the Color 1 and Color 2 feature groups for the the polka-dot blouse product using the same instructions above for adding color options to a product.

Ed McCaffrey uses OrderStorm WordPress e-Commerce to Check in Campers

Football legend, Ed McCaffrey, used OrderStorm WordPress e-commerce to sell event registrations and check in campers for the Eddy Mac Football Camps this year.  Here is a photo Maria Sallis of OrderStorm at the registration desk on the opening day of football camp. Using OrderStorm WordPress e-commerce, the camp takes orders and processes credit cards.  Campers can also use the OrderStorm WordPress e-commerce software to pay by check.  In addition, each order gets a special registration form that must be filled out.  In the case of the Eddy Mac football camps, the registration form is for t-shirt size, position, school, age etc.

Excerpt from a conversation between Dan Sallis and Jase X, a WordPress developer.

“Ahh, the ever needed customization.  This is the part that is really huge.  Yes, the plugin uses an API with webservices to get data from our servers.  All that work is done at the PHP level on the WP site.  Our plugin code is GPL and comes with a basic template but we would expect developers to hack the code to do whatever they want and even resell really cool e-comm templates they create from our code base.  The basics: the PHP is making API requests to our webservices and returning JSON data and a developer can do whatever they like with the data.

What is really cool too, is that the actual checkout process (collecting name, address, cc data, etc.) opens in a modal window that is loading a page from our servers in an iframe using OrderStorm’s SSL. The WP site does not need a SSL cert to accept credit cards on their merchant account/gateway and the end user will not really know that they ever left the WP site!  We will support the use of SSLs on the WP site too.

The back-end application, system administration, and where the products are set up and orders are managed takes place on the OrderStorm site.”

OrderStorm WordPress e-Commerce Called ‘Missing Link’

I went traveling last week to promote the launch of the OrderStorm WordPress e-commerce plugin. The first place I went was to a conference in Silicon Valley to watch other tech companies pitch to investors and to meet the investors in the room. I pitched our plugin to Gavin X at the opening night cocktail party and very impressed by his knowledge of both our space and the folks at WordPress.com. He called our plugin ‘the missing link’. Very flattering!

Then I went to WordCamp Kansas City. OrderStorm was sponsoring the conference and we handed out lots of pens, pads, and flyers. Sitting next to me in one of the sessions was Jase X, a WordPress developer. So I pitched our WordPress shopping cart plugin to him and lo and behold, he called it ‘the missing link’!

Installation and setup instructions for the OrderStorm WordPress e-commerce plugin are now available on the website in the User Manual.   The plugin is simple to install and set up.  It installs like any other plugin from the management dashboard.  It has several features that I should explain.

1. The Category page.  You must create a Category page to hold the category short code You can name the page anything you want ex. Training DVDs.  This page will display all of your root categories.  Since the categories are a widget that you can put in any sidebar on any page you like, you don’t necessarily have to display the Category page itself if you don’t want to.  If you are using menus, don’t add the page to the active menu.

2.  The Product page.  You must also create a Product page to hold the product page short code.  Unlike the Category page, this page will be blank.  You will definitely want to make sure this page does not display.  You can, however, set SEO page titles, description, tags etc.

3.  The .css files for the plugin allow you to set the appearance of your WordPress
shopping cart
any way that best displays your product or service.  While it comes in a
standard product display configuration, you can change how many products display in each row, how large the box is for each product, the background color for the box (including white), text colors, category and subcategory colors and fonts fonts, bullets etc.

Keep your eye on our updates.  We have some GUIs planned to make it easier to set fonts, colors, and styles on the drawing board.

Merchants also like the convenience of configuring a high and low limit on payment options.  If you are selling a high ticket item, the WordPress e-commerce payment options allow you to set an upper limit on credit cards so that orders above a certain size must be paid for by check or wire.  Alternately, due to the cost of wire transfer, many merchants don’t want a wire if the amount is too small.
